Enhancing Hybrid Meetings: Best Practices for Inclusive Collaboration Introduction: Hybrid meetings, which involve both in-person and online attendees, can present challenges in terms of effective communication and participant engagement. This handout provides valuable insights and practical tips to improve the quality and inclusivity of hybrid meetings. I. Consideration 1: Shifting to Online Meetings • If feasible, opt for fully online meetings to eliminate difficulties faced by remote participants and minimize behavioural adjustments needed by in-person attendees. • Encourage all participants, even those physically present, to join from their own computers to create a level playing field. • However, sometime we do need to run a hybrid meeting, and in that case follow the guidelines below. II. Consideration 2: Technical Aspects A. Audio: • Quality audio is crucial for remote participants. • Use a specialized conference microphone designed to capture multiple voices and employ features like AI-based voice isolation and noise reduction. Camera: • Strategically position the camera to focus on elements vital for remote participation e.g., instead of showing the entire room, emphasize content such as whiteboards, slides, or other visual aids. • Consider using a portable webcam that can be passed around, allowing online participants to have a closer view of speakers and actively engage with the meeting. C. Display: • Display online participants in gallery view on a large screen in the room to provide a constant reminder to face-to-face attendees that there are also people joining from online. • Use a separate screen to showcase presentations or slides, if required. III. Group Dynamics and Facilitation A. Exercise Design: • Design activities and tools (e.g., whiteboards, polls, breakout rooms) to accommodate both in-person and remote attendees e.g., there is no point in using a flipchart in the room if the online participants cannot see it clearly. • If using breakout rooms for discussion, assign physical participants to one breakout room and create separate breakout rooms for online participants. • Prefer digital whiteboards to enable collaborative input from all attendees. B. Facilitator Roles: • Allow additional time for remote participants to respond to questions due to potential lag in sound and image, and also because online participants do not share the same “high” level of in-room energy. • Appoint a second facilitator dedicated to virtual participants, responsible for monitoring chat, addressing technical issues, and ensuring their active involvement. C. Speaking Protocol: • Encourage all participants, regardless of their location, to raise their hands before speaking. • This practice ensures equitable opportunities for contribution and enables facilitators to manage participation effectively. Conclusion: By implementing these best practices, hybrid meetings can become more inclusive, fostering effective collaboration between in-person and online participants. Prioritizing audio quality, optimizing camera usage, designing inclusive exercises, and employing dedicated facilitators will help create a seamless and engaging hybrid meeting experience for all attendees.
